2. What Personal Data We Collect
We collect personal data in the following situations:
2.1 Data You Provide to Us
- Contact form submissions: your full name, email address, the subject of your enquiry and the contents of your message. Where you provide details of a shipment, this may include business address, phone number and cargo details.
- Direct communications: when you email, call or otherwise contact us, we retain a record of the communication and any personal data it contains.
2.2 Data Collected Automatically
- Technical data: IP address, browser type and version, operating system, referring URL, pages visited and time spent on each page.
- Cookie and analytics data: where you have given consent, we use analytics cookies to understand how visitors use our website so that we can improve it. See Section 5 for details.
3. How We Use Your Personal Data
We use the data we collect for the following purposes:
- To respond to your freight enquiry, provide a quote and communicate about a shipment or service.
- To manage any contract or ongoing commercial relationship with you or your organisation.
- To operate, secure, maintain and improve our website and IT systems.
- To send you information you have specifically requested or consented to receive.
- To comply with our legal obligations under Ukrainian law and applicable EU regulations where relevant.
- To prevent fraud and protect the security of our systems and users.
4. Legal Basis for Processing
We process your personal data on one or more of the following legal bases:
- Consent — when you submit our contact form, you explicitly consent to us processing your data to respond to your enquiry; when you accept cookies, you consent to analytics data collection. You may withdraw consent at any time without affecting the lawfulness of prior processing.
- Performance of a contract — where processing is necessary to fulfil or manage a freight services contract between us.
- Legitimate interests — to operate and improve our business, keep our website secure and communicate about our services, provided those interests are not overridden by your data protection rights.
- Legal obligation — where processing is required to comply with applicable Ukrainian law, customs regulations or other binding legal requirements.
5. Cookies
Our website uses the following categories of cookies:
- Strictly necessary cookies: Required for the website to function, including session management and the cookie-consent preference itself. These cannot be disabled.
- Analytics cookies: With your consent, we use analytics tools to collect aggregated, anonymised data about how visitors interact with our website (pages viewed, session duration, geographic region). This helps us improve site performance and content. Analytics cookies are only set after you click "Accept" on the cookie banner.
You can withdraw your cookie consent at any time by clearing your browser cookies and refreshing the page. You may also configure your browser to block cookies; doing so may affect certain site functionality.
6. Sharing Your Personal Data
We do not sell, rent or trade your personal data to third parties. We may share your data in the following limited circumstances:
- Service providers: trusted third-party providers who process data on our behalf under written data processing agreements — including web hosting, IT maintenance and analytics services.
- Customs and regulatory authorities: where required by Ukrainian customs law or other applicable regulation (e.g. for import/export declarations).
- Legal compliance: where we are required to disclose data by a court order, law enforcement authority or other binding legal obligation.
- Business transfers: in the event of a merger, acquisition or sale of all or part of our assets, your data may be transferred as part of that transaction, with notice provided where required.
7. Data Retention
We retain your personal data only for as long as necessary to fulfil the purpose for which it was collected, taking into account applicable legal, tax and accounting obligations:
- Contact form enquiries that do not lead to a contract: up to 24 months from the date of the enquiry.
- Data relating to a freight services contract: for the duration of the contract and for 5 years thereafter, consistent with Ukrainian civil and tax law retention requirements.
- Analytics and technical data: retained in aggregated form; individual-level data is deleted or anonymised within 26 months.
8. Your Rights
Subject to applicable law, you have the right to:
- Access the personal data we hold about you;
- Correct inaccurate or incomplete data;
- Request erasure of your data ("right to be forgotten") where there is no overriding legal basis to retain it;
- Object to processing based on our legitimate interests;
- Withdraw consent at any time without affecting the lawfulness of prior processing;
- Restrict processing in certain circumstances;
- Receive a copy of your data in a portable, machine-readable format.
To exercise any of these rights, please contact us at privacy@dniprologistics.com. We will respond within 30 calendar days. See our GDPR & Data Protection page for full details.
9. Security
We apply appropriate technical and organisational security measures to protect your personal data against unauthorised access, accidental loss, alteration or disclosure. These measures include access controls, encrypted data transmission (HTTPS) and regular security reviews. However, no internet transmission is completely secure; if you have concerns about the security of your data, please contact us immediately.
10. International Transfers
Our primary data processing takes place within Ukraine. Where we use service providers based outside Ukraine (for example, cloud hosting or analytics providers), we ensure that appropriate safeguards are in place — such as the European Commission's Standard Contractual Clauses or adequacy decisions — to protect your data to the same standard as required under Ukrainian law and GDPR.
11. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. The updated version will be posted on this page with a revised "Last updated" date. For material changes, we will provide a more prominent notice where required. Continued use of our website after posting constitutes acceptance of the updated policy.
12. Contact & Complaints
If you have any questions about this Privacy Policy or the way we handle your data, please contact our data protection point of contact at privacy@dniprologistics.com. If you believe your rights have been infringed and we have not resolved the matter to your satisfaction, you have the right to lodge a complaint with the Ombudsman for Human Rights of Ukraine (the supervisory authority for personal data protection in Ukraine) or, if you are located in the EU/EEA, with your local data protection authority.
